A Change Order Happened on Site Today. It Will Never Make It to an Invoice.

A superintendent approves extra work on a Tuesday. It gets written on a clipboard, stuffed in a truck, and never makes it to accounting. By the time anyone asks, the billing window has closed. The work was done. The materials were used. The labor was paid. But the invoice was never sent.

Every sub has different invoice formats, different payment terms, different retainage rules, and a different definition of 'completed work.' Reconciling sub invoices against contracts, change orders, and inspection reports requires manual cross-referencing across systems that were never designed to connect.

Construction invoicing is milestone-based, but milestones move. The original estimate says Phase 2 is 40% complete. The PM says 55%. The sub says 70%. Reconciling three different completion assessments into one accurate progress bill is where accuracy falls apart.
